Commercial RTU Repair vs. Replacement: A Facility Manager’s Guide
How facility managers can weigh repair cost, reliability, energy use and capital timing.

Rooftop-unit decisions are rarely just about the age of the equipment. Facility managers need to balance current repair cost, operating risk, comfort impact, energy use and the timing of available capital.
WHEN REPAIR USUALLY MAKES SENSE
Repair is often the practical choice when the unit is otherwise reliable, the failed component is readily available and the repair restores normal operation without repeating a recent pattern. A sound heat exchanger, compressor and cabinet; clean maintenance history; and controls that still support the building all favor repair.
SIGNS IT IS TIME TO PLAN REPLACEMENT
Replacement deserves a closer look when breakdowns are becoming frequent, major components are failing, refrigerant or parts are difficult to obtain, capacity no longer matches the space, or the unit is creating unacceptable downtime. Rising energy use, corrosion, poor humidity control and repeated comfort complaints can also shift the lifecycle cost toward replacement.
THE NUMBERS TO COMPARE
Do not compare the next repair only with the purchase price of a new RTU. Include anticipated repairs over the next two to five years, emergency-service risk, temporary cooling or heating, lost operating time, energy consumption and the value of improved reliability. For multi-unit facilities, an equipment-by-equipment condition list helps prioritize capital rather than replacing everything at once.
WHAT A GOOD RTU ASSESSMENT SHOULD DOCUMENT
A useful assessment should identify equipment age and condition, heating and cooling performance, electrical and control issues, airflow, belts and bearings, heat-exchanger condition, refrigerant circuit concerns, curb and duct compatibility, crane or access requirements and realistic lead times. The recommendation should distinguish urgent safety or reliability work from improvements that can be budgeted.
PLAN BEFORE THE FAILURE
Planned replacement creates time to select suitable equipment, coordinate permits and access, schedule around operations and compare options. Emergency replacement usually narrows those choices. Even when repair is the right decision today, documenting the likely replacement window gives ownership a defensible capital plan.
